Phone-provider costs for numbers, calls, texts, and applicable carrier or registration fees are separate, including during the CallBack trial. AI CSR pilots require separate review and approval.
Twilio is the standard setup. Ask us to confirm Telnyx or Plivo availability before starting with either. You need an approved provider number and a different number to ring your team. Confirm compatibility before changing your current routing.
Add number rental, registration and campaign fees, messages and carrier fees, and calls or forwarding to the software price. These charges can apply during the trial. Check your provider's rates for your setup.
Your 14 days start after email confirmation and include setup and carrier-review time. Explore the dashboard with test data while preparing. Live texting starts only after approval and a successful call-and-text test.
Confirm the number belongs to your account, review forwarding and voicemail, then run an answered call and a caller-consented text/reply test. Existing approval does not by itself verify this new call path.
Check compatibility and registration first. Twilio currently advises 10–15 days for new campaign review, which can use most or all of a 14-day software trial. Check its current estimate. There is no automatic pause or extension while approval is pending.
Test data lets you practice the dashboard; it does not prove a phone received a text. If the trial expires, continuing live service requires an eligible paid subscription. Ask about readiness before confirming your email if your goal is to evaluate live calls.

Check my provider and existing number →An illustration for one eligible US business using Twilio, a local number and an approved low-volume mixed campaign. This is a budget example, not a quote or a usage allowance. Rates checked September 17, 2026.
| Provider charge | Assumption | Monthly |
|---|---|---|
| One US local number | $1.15 per month | $1.15 |
| Low-volume mixed campaign | $1.50 per month, if eligible and approved | $1.50 |
| 600 SMS segments | 300 sent + 300 received, at $0.0083 each | $4.98 |
| Carrier fees | Example: all T-Mobile, $0.0045 sent + $0.0025 received | $2.10 |
| Call routing | 200 billed incoming minutes at $0.0085 + 200 outgoing at $0.014 | $4.50 |
$149 CallBack HVAC + $14.23 assumed provider charges.
Same full paid month, plus $4.50 brand registration and $15 campaign vetting. Pay these once when applicable, not again after a trial.
During the 14-day software trial, CallBack HVAC costs $0. Provider registration, number/campaign rental and actual usage can still be charged; monthly provider fees may not be prorated. This example assumes a full $149 software billing month, so it is not a prediction of your first calendar-month invoice.
Add taxes, your existing phone service or forwarding fees, and any extra usage or optional provider features. Longer or Unicode texts can use multiple billed segments. Other carriers, campaign types and providers differ. Confirm eligibility and current rates before paying for setup.

Straight answers
The core software is $149/month per HVAC company after the 14-day no-card trial. Your phone provider bills separately for number rental, business-texting registration and campaign fees, messages and carrier fees, and voice calls or forwarding. Provider charges can apply during the software trial. Total cost depends on your provider, registration and usage; $149 is not an all-in phone-service price.
Yes. The trial is 14 days and no credit card is required to start. If you keep using CallBack HVAC after the trial, billing starts at $149/month once you add payment.
Twilio is the standard setup using your own paid account and approved texting number. Telnyx and Plivo integrations are available for setup review; contact us to confirm availability and requirements before starting a trial with either. They are not automatically enabled for every account. Each company uses one provider; switching an existing connection requires a separate migration review.
Your 14-day software trial starts after email confirmation. You can explore the dashboard and practice with test data while setting up. The clock keeps running during phone setup and carrier review, so the trial does not guarantee 14 days of live texting. If you need a new account, number or registration, ask for setup help before starting; approval timing is controlled by the provider and carriers.
Check compatibility before changing your phone routing. CallBack needs an approved provider number and a different destination number for forwarding calls to your team. Your current setup determines whether and how your advertised number can be used. Voicemail answering can affect whether a call is treated as unanswered. Test an answered call, an unanswered call with text consent, a received text and a reply before using the flow with customers. Your team still handles callbacks and bookings.
AI CSR Live is a separately reviewed pilot for one defined overflow or after-hours call path. Live customer routing stays off unless the pilot is approved and enabled. It is not included in the 14-day free trial.
The AI CSR Pro pilot adds deeper intake guidance, stronger urgency routing, more structured summaries for complex calls, and priority setup support. It also requires separate approval before customer-facing use.
Live reviews a simpler defined overflow or after-hours call path. Pro adds more guided qualification, stronger routing rules, and priority setup support. Both remain off for live callers unless separately approved and enabled.
No. The first-sale product is still missed-call text-back and lead recovery. An approved AI CSR pilot can support one defined call path; your team still owns booking, dispatch decisions, customer follow-up, and quality control.
No. The $149/month plan covers the core call-capture workflow, including missed-call text-back, lead records, dashboard handling, and tracking. AI CSR pilots are separately reviewed paid add-ons, remain off for live callers unless approved and enabled, and are not included in the 14-day free trial.
Yes. CallBack HVAC is month-to-month. You can cancel your subscription at any time from inside the app, and your account stays active until the end of the current billing period.
Each company account covers one connected provider number and one HVAC business. For multiple locations, email hello@callbackhvac.com to discuss the setup before creating accounts.
A2P 10DLC is the registration process for sending application-based business texts to US recipients from local 10-digit numbers through Twilio. It applies even at low message volumes. You register your business and messaging use case in Twilio as part of setup. Registration is required for this number type, but it does not guarantee that every text will be delivered.
